BGAPSA Positions and Responsibilities

ARTICLE IV: OFFICERS BGAPSA will be governed by an executive board composed of the following:

1. PRESIDENT:

The Executive Board shall include a President who shall lead the General Assembly and Executive Board on all matters.

The President shall be present at all General Assembly and Executive Board meetings.

The President shall be the primary BGAPSA representative to all University administration and personnel, and shall attend all meetings with such personnel as necessary and appropriate on committees and panels as designated by the Graduate and Professional Student Assembly (GAPSA), the University, the Executive Board, or General Body membership.

The President, in conjunction with the Executive Board, shall devise and implement annual goals and strategies for fulfilling the BGAPSA mission.

The President shall organize, motivate, and empower student volunteers in support of all BGAPSA projects, initiatives, and events.

The President shall delegate such responsibilities as appropriate to other members of the Executive Board.

The President shall Maintain the power and authority to appoint committee chairpersons, with majority consent of the Executive Board.

The President shall be familiar and implement parliamentary procedure (e.g. Robert’s Rule of Order).

2. VICE PRESIDENT OF MARKETING:

The Executive Board shall include a Vice President of Marketing who shall work with school newspapers and other publications to promote the communication of information between BGAPSA and graduate and professional students, schools and departments, and academic, administrative, and student life departments.

The Vice President of Marketing shall manage the BGAPSA website/brand/reputation and monitor, screen, and disseminate all BGAPSA e­mail communications.

The Vice President of Marketing shall maintain current information on the BGAPSA website, including current contact information for all members of the General Assembly and upcoming BGAPSA programs.

The Vice President of Marketing shall devise, monitor, and implement BGAPSA advertising, public relations, and communications initiatives in conjunction with the lead organizer or committee.

The Vice President of Marketing shall chair the Communications Committee. The Vice President of Marketing shall Promote BGAPSA through establishing and managing the BGAPSA website and social media

The Vice President of Marketing shall recruit prospective members and constituent groups.

3. VICE PRESIDENT OF FINANCE:

The Executive Board shall include a Vice President for Finance who shall be responsible for all budget issues.

The Vice President of Finance shall maintain accurate and current financial reports and records.

The Vice President of Finance shall present to the Executive Board a final, detailed budgetary and expenditure report for the prior academic year no later than the first day of September in each academic year. This report shall remain on file with the Executive Board and shall be available for review by any member of the General Assembly.

The Vice President of Finance shall manage all fiscal transactions and maintain accurate financial records on behalf of BGAPSA.

The Vice President of Finance shall arrange and allocate money for each committee or event and oversee reimbursements for programming;

The Vice President of Finance shall liaise with the University Budget Officer to conduct the Organization’s budget and ensure that all non­accruable fiscal allotments are expended by the end of the year.

The Vice President of Finance shall keep the Executive Board, and as needed, the membership, informed of all BGAPSA balances, debits, and credits by generating a comprehensive annual report to be presented at the final Executive Board meeting of the academic year.

The Vice President of Finance shall identify and prepare documents on potential sources of funding and procedures for obtaining funding during the Executive Board transition period.

The Vice President of Finance shall apply for GAPSA and other internal sources of funding as they become available. Participates in Board meetings as a voting member.

4. VICE PRESIDENT OF SOCIAL PROGRAMMING:

The VP of Social Programming shall plan at least two (2) social events per semester.

The VP of Social Programming shall work with other Vice Presidents to ensure successful planning and execution of programming.

The VP of Social Programming shall review and maintain records of planning, volunteers, participants, and partners for past events.

The VP of Social Programming shall conduct surveys with the Membership for programming ideas and programming evaluation.

The VP of Social Programming shall collect or delegate collection of archives, e.g. photographs, articles, marketing materials, etc. for social programming events.

The VP of Social Programming shall participate in Board meetings as a voting member

5. VICE PRESIDENT OF ACADEMIC PROGRAMMING:

The VP of Academic Programming shall plan at least one (1) academic events per semester. The VP of Academic Programming shall work with other Vice Presidents to ensure successful planning and execution of programming.

The VP of Academic Programming shall review and maintain records of planning, volunteers, participants, and partners for past events.

The VP of Academic Programming shall conduct surveys with the Membership for programming ideas and programming evaluation.

The VP of Academic Programming shall collect or delegate collection of archives, e.g. photographs, articles, marketing materials, etc. for social programming events.

The VP of Academic Programming shall participates in Board meetings as a voting member
6. VICE PRESIDENT OF COMMUNITY RELATIONS:

The VP of Community Relations shall establish and maintain relationships with student groups on the basis of future co­sponsorship opportunities.

The VP of Community Relations shall establish and maintain relationships with outside professional and student groups on the basis of co­sponsorship opportunities.

The VP of Community Relations shall maintain relationship with Maaku/Umoja, as well as the University administration.

The VP of Community Relations shall report back to the Executive Board with updates from these organizations.

The VP of Community Relations shall participate in Board meetings as a voting member The VP of Community Relations shall head the Community Service and Advocacy Committee.
7. Vice President OF Correspondence:

The VP of Correspondence shall be responsible for ensuring that accurate minutes of meetings are taken and approved and ensuring that the records of the organization are maintained.

The VP of Correspondence shall participate in Board meetings as a voting member.

The VP of Correspondence shall Initiate e­mail, written, and/or oral communications, as required with all BGAPSA members to ensure maximum access to information and participation in meetings and events.

The VP of Correspondence shall oversee executive board elections pursuant to Section V of the BGAPSA By­Laws.
